Why do I have multiple Sent folders?

When using the email system with the IMAP protocol the sent emails can end up across multiple Sent folders such as "Sent", "Sent Items", "Sent Messages", etc.  By making some small configuration changes in the email client accessing the email system these differences can be corrected for most email client software.

When using the IMAP protocol all folders and messages between the email client software and the email server are synchronised.  For example, the webmail system uses Sent Items folder to store sent messages (if enabled in Webmail).  The Sent Items folder will be synchronised to the email client.  In reverse, if you are using an Apple MAC or an iPhone, these by default store the sent messages in a folder called Sent Messages.  The Sent Messages folder will be visible in the webmail system as it is synchronised with the email server.

The email server and webmail system have been designed to be compatible with Microsoft Outlook so the issue only occurs for email clients that do not follow Microsoft's naming standards.

To correct the issue the email clients (on the PCs, MACs or phones supporting email) need to be configured to store the sent emails and deleted emails in a folders consistent with the webmail system.  The following changes are required:

  • Sent emails must be stored in a folder called "Sent Items"
  • Deleted emails must be stored in a fodler called "Deleted Items"

Most email clients support making these configuration changes to align your email across multiple access points.
