Sending an SMS with Outlook

Emails can be much larger than SMS so it is important to consider the size when sending an Email to SMS.  SMS are limited to 160 characters.

In Outlook you can do a word count to find out if you message will fit the SMS.  These tips should help you better manage your Email to SMS.

  1. Use Subject Line to allow customers to identify your SMS at a glance.  Include your Company Name and other relevant details here.
  2. Use the body of your email for main SMS content - Avoid using long signatures

You can use the word count feature to get an idea of how many characters are included in each message. In Outlook follow these steps:

  1. Select text in the email then Click on Tools > Word Count  Or Review > Word Count on later versions of Outlook
  2. Review the number of characters, including spaces.
  3. Repeat steps 1 and 2 for the Subject Line.
  4. ADD the number of characters for Subject Line and Body Text to get the total number of characters in that message.  Make sure this is less than 160.  Reduce your message size if needed or it will be sent over two SMS
  5. Press Send to proceed
